Start with peak attendance and event duration
The same headcount can create very different demand at a short open house and an all-day festival. Record the busiest expected period, hours, food and drink service, and any permanent restrooms that will actually be available. Share separate activity zones rather than treating the whole venue as one point.
Check Garland’s event process
The City’s Special Event Permitting page lists triggers that can include attendance, vendors, amplified sound, street impacts and temporary structures. It calls for restroom locations on the site plan. The stated application lead time is at least 45 days, with 60 days for events needing additional consideration. Confirm the process for your exact event and jurisdiction.
Choose facilities around guest needs
Standard toilets provide basic capacity. Flushing units add a different user experience. Trailers require more installation planning and appropriate utilities. Review accessible equipment and the approach to it; a suitable unit at the end of an inaccessible route does not solve the guest’s problem.
Keep service access separate from guest circulation
Mark the truck approach, restroom position and handwashing locations. Think about guest vehicles, food vendors and barriers arriving after setup. If the event runs across several days, identify safe service periods and who will let the driver in.
Plan the final handback
A venue may close before the proposed collection day. A holiday can also affect the ordinary weekend schedule. Put the delivery window, collection arrangement and site contact into the booking discussion. Review any charges for extended use or changes before signing.
Bring the plan to the quote request
Share the location, date, peak count, hours and equipment preferences. Ask for the service arrangement, supplies and pickup to be itemized. Keep the venue approval and the rental confirmation as separate pieces of the event plan.
